Approving parking permit applications: how it works

Approving parking permit applications: how it works

Not every parking permit can be issued automatically. For restricted zones, protected categories or permits that need document checks, Supa Parking offers an approval workflow: the citizen submits the application online, the office reviews it and the permit becomes valid only after a decision.

Which applications need approval?

For each price, the operator decides how it is offered: freely purchasable in the portal, available only to staff, usable for extensions or subject to approval. Applications for an approval-based price remain pending and are not active until an operator decides.

The workflow is an option of the permit module, so it can be enabled only where needed while other prices keep issuing permits immediately.

Three possible decisions for the operator

For each pending application, an authorised operator can:

  • approve it: the permit is activated, the start date is moved to today if it has already passed and validity is recalculated from the price;
  • approve and require payment: the permit is accepted, but the citizen must complete payment before activation;
  • reject it with a reason, which is recorded together with the rejection date and sent to the applicant by e-mail.

Automatic communication with the applicant

After approval, the system prepares the e-mails linked to the permit. After a rejection, the applicant receives a message with the reason, avoiding clarification requests at the counter.

List of pending applications

Applications awaiting review can be filtered in the permit list, so staff immediately see what is still open. Each decision is tied to the permit and to the holder, price and vehicle information.

Control that respects access rights

Only users entitled to edit the department's permits can approve or reject. A permit that has already been processed cannot be approved a second time.

The workflow fits with the online portal and permit management: citizens apply from home, the office decides on the same platform.

FAQ

Can I require approval for only some permits?

Yes. Approval depends on the availability configured for each price, so it can apply only to categories that need a check.

What does the citizen see if an application is rejected?

They receive an e-mail with the reason entered by the operator. The rejection is recorded with its date.

Is the permit valid while waiting?

No. Until the application is approved, the permit is not active and cannot be used for parking.

Can payment be requested after approval?

Yes. The operator can accept the application and require payment: the permit becomes active once the citizen has paid.
